Devon Preparatory School a Catholic, college preparatory school for young men in grade six to twelve, is seeking a full-time Accountant/Bookkeeper position.  This is a twelve-month position.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
The position of Accountant/Bookkeeper will report directly to the Headmaster.  The Accountant/Bookkeeper is responsible for the primary bookkeeping at Devon Preparatory School which includes but is not limited to: Student billing, accounts receivable, cash receipts, payroll, accounts payable and general ledger.  

BASIC JOB REQUIREMENTS:
Specific responsibilities include but are not limited to:

  • Process Student Billing accounts and tuition payments daily and review for accuracy.
  • Review Student Billing accounts weekly and follow up/reconcile on past due accounts, as needed.
  • Manage billing set-up of accounts with parents, act as main parent contact and troubleshoot any setup inquiries.
  • Prepare a monthly operating statement for review.
  • Manage the processing of cash receipts, recording of revenue and receivables, and work closely with Development, Admissions and the other teams to ensure proper recording.
  • Manage all aspects of day to day bookkeeping and accounting processes including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliations in accordance with GAAP.
  • Prepare monthly analysis and journal entries for significant general ledger accounts.
  • Process credit card transactions, input, and process related bank deposits.
  • Perform monthly bank and investment reconciliations.
  • Run and review general ledger reports for monthly financial statements.
  • Execute month-end closing procedures and postings.                                                           
  • Assist in preparation of monthly financial statements.
  • Receive and deposit all organizational revenue.
  • Follow up on all open receivables and collections, send out late notices via email according to policy.
  • Assist with audit preparation and prepare audit schedules.
  • Perform annual 1099 reporting for vendors.
  • Support administration in development and analysis of annual organization/departmental budgets.
  • Recommend internal control and policy/procedure improvements if necessary.

 

QUALIFICATIONS, KNOWLEDGE AND SKILLS:

  • CPA required
  • Minimum of 3-5 years accounting experience, preferably in the Non-Profit or Independent Schools
  • FACTS systems management experience preferred
  • Proficiency with Quickbooks.
  • Excellent communications and customer service skills; detail oriented; team player
  • Must be proficient with MS Excel and other Office products
  • Candidates should demonstrate strong organizational and problem-solving skills, as well as excellent interpersonal, collaborative, and communication skills.

 

RELATIONSHIPS WITH OTHERS:
Devon Prep’s staff has frequent encounters with visitors, students, faculty and staff throughout the campus. It is important to maintain a helpful, positive demeanor while interacting with these individuals. The Accountant/Bookkeeper reports directly to the Headmaster but may be directed by other Administration during the day if emergencies arise.


NATURE OF SUPERVISION:
The Accountant/Bookkeeper is supervised directly by the Headmaster.

MINIMUM QUALIFICATIONS:
Required:

  • CPA required
  • Minimum of 3-5 years accounting experience, preferably in the Non-Profit or Independent Schools
